Choosing the right VA could be tough decision, especially if you've never had experience working with remote VA's/Team's before. To make it easier for you we have compiled these Frequently asked questions which are related to the real estate VA services provided by KwikTeams.

Click on the "Request Consultation" button on top right corner of our website to have a discovery call, after which our team will send a Non Disclosure and Scope of Work document. Once it is executed, we will assign an Account Manager who will assist you in Onboarding.

We have month to month contract on most of the packages & also have some transaction based packages. Only when you are taking support of 2 FTE (Full Time Equivalent) or more we require minimum contract period of 6 months. If you are on month to month contract, you can cancel by giving one week of notice through email. If you have hired 2 FTE or more, you can cancel by giving us one month of notice.

We would love to help people in real estate and can arrange for you to try out our services either on a fixed hours model or by giving you a big discount on your first purchase of our transaction/monthly plans. Once you are comfortable and feel we are a right match, we can complete the formalities of signing contract.

At KwikTeams by default we store data recevied from you on cloud level enterprise systems that allow only permission based access even to the our own VA's. If you use your own system to manage passwords we can use that also instead. We have a strict data security measures embedded in our company policies. It includes many layers right from employee background check, signing NDA with our employees, paperless & secured operation floor access, secure internal firewall, no device policy and periodic backup's.

We have flexible engagement models so that you can best utlize us as per your actual needs. We work on fixed hourly model, full or part time dedicated employees model & predfined task or transaction based model. Whatever your volume big or small our transparent pricing models works around you and your needs.

You can assign us tasks through email, texts or any other online social medium as you see fit. Pretty soon we are going to have our own helpdesk system in place also where you can assign and track submitted tasks. Once we get a feel about your way of working and based on the tasks we'll create a custom "Scope of Work" document with standard operating procedures specifically for streamlining your processes.

Once you sign up with us, KwikTeams will appoint an Account Manager who will be your single point of contact. He/She will work closely with you to understand tasks, priorities, create SOW, quality monitoring & training protocols etc. Based on nature of submitted task account manager would delegate it to our internal support teams and report back to you upon completion. So in a way you have our listing team, transaction coordination team, design team, marketing team and admin team at your disposal.

At present our teams are available from Monday to Friday, 9 AM to 5 PM EST. Only our Design & Tech team works in different timezone and is available from Monday to Saturday 11.30 PM to 8.30 AM EST. Mostly all of our teams obeserve holiday on weekends, but we do have a limited presence available if needed on urgency basis.

Soon after onboarding, we'll assign additional resource that will start shadowing the main resource on your project and learn day to day tasks. This ensure that our client's work processes do not get hampered even if his/her dedicated VA falls sick and is unable to work. There is always a backup executive ready to perform the task and ensure quality output as usual.

Upon signing up with us, based on workflow we ask you to prioritize tasks that need to be completed on real time basis (for eg, setting showings, sending CMA, Listing input etc.) and tasks that can be done offline hours (design creatives, website support, setting up Ad campaigns, SEOs and other administrative and data entry related tasks). While real time tasks done in the same day, for most of the off line tasks Turn Around time is 8 to 24 hours.

We beleive its essential for us to stay on the same page and with our transparent reports you get to know - status & number of tasks submitted, number of hours it took us to accomplish any given task, updates on status of predefined or recurring tasks, production reports etc.

We don't provide cold calling services yet. If someone has requirement of 5 FTE or more, we can help set up dedicated calling Team. Nevertheless our team assisst you on other phone based activities, like follow up calls to vendors, HOAs, Utility & other companies, showings assistance, prospecting real time leads to ask probing questions and set up an appointment with you etc.

We have a very strict quality control process at KwikTeams. A task performed by an executive is checked again by the Supervisor/Lead to ensure quality and perfection. The client receives the final resolution only when we're satisfied with the work quality from our end. We also do monthly audits for each of our employees to ensure quality output meets the set standards.

We usually charge you for the actual involvement of hours used to complete submitted task. We do not charge you for our time that goes into understanding process, learning or training. However, you can always get in touch with your Account Manager if you have any doubt on the charges.

We offer provision for change of your virtual assistant (VA) if you are not happy with that person’s work performance. You can train your VA prior to sending any task. This reduces chances of dissatisfaction with your VA.
